Purpose

The Admin Assistant is hired to provide general office and administrative duties. This person’s primary responsibility is to work within the administrative office to maintain organization and structure of all aspects that require administrative attention, such as organizing, maintenance and upkeep of records.

Roles

Reporting to the Senior Accountant, the Admin Assistant will be responsible for inputting repetitive data and information into the computer networking system and working within the office communicating with other administrators regarding other required financial applications needed for month ends, year ends and daily totals.

Duties and Responsibilities

  • Process repetitive documents or transactions in accordance with established procedures
  • Maintain records of documents processed for ready access and compile various reports according to standard operating procedures.
  • Sorting, stamping and distribution of in and outgoing mail according to procedures.
  • Answers phones, takes messages and directs calls to proper personnel.
  • Performs other duties as assigned by the General Manager.
  • Assist Accounts Payable with filing when needed.
  • Is called upon to retrieve information for buyers when needed.
  • Extensive amount of computer entry, typing, filing and processing paperwork daily.
  • Is responsible for maintaining Purchase order logs and Budget/Forecast Spreadsheets
  • During the weekly managers meeting – taking the minutes and typing/issuing the approved final copy to all managers.
  • Assist managers in obtaining quotes for their departments

Requirements

  • Must be able to accept supervision and follow instructions.
  • Must possess excellent communications skills.
  • Minimum typing speed of 25 wpm
  • Must be capable of operating basic office machines such as: Telephone, calculator, fax, copy machine, basic computer operations, and any others required.
  • Must be able to handle more than one assignment at any given time.
  • High School diploma or GED
  • Minimum one year clerical experience.
  • Must possess a valid driver’s license.

Impact of Action

The Admin Assistant has a direct impact on the ability to provide Eagle River Casino & Travel Plaza guests, staff and management with a safe and suitable environment in which to visit and/or work.

Key Working Relationships

This position requires the ability to communicate clearly, deal tactfully and work effectively with Eagle River Casino & Travel Plaza guests, staff and management. The incumbent in this position will provide a primary interface to other Casino & Plaza departments.

Latitude of Action

The Admin Assistant is expected to report on all events that could have a negative effect on the operations or reputation of the Eagle River Casino & Travel Plaza.  The activities and authority of the Admin Assistant is guided by the Eagle River Casino & Travel Plaza Visions and Values.

Working Conditions

This position will work in an office setting. The hours of work may vary and overtime may be required during peak business periods, and standard hours may be different in the service industry.
